Position Summary:

The Supply Chain & Logistics Manager is responsible for overseeing the planning, procurement, inventory management and materials control processes. This role serves as a key liaison between Manufacturing, Quality, Finance, and Customer Service, managing vendor relationships, maintaining data accuracy, and supporting efficient supply chain operations in a regulated life science environment.

Primary Responsibilities:

Procurement & Vendor Coordination

· Oversees procurement and vendor coordination by creating and managing purchase orders for finished goods, raw materials, consumables, and R&D supplies. Builds and maintains strong supplier relationships to ensure reliable, cost-effective sourcing and serves as the primary contact for vendor inquiries on product availability, lead times, and deliveries. Supports Customer Service by providing shipment updates and accurate availability information for customers. Coordinates new vendor setup by collecting necessary documentation for Quality and Finance, including W-9s, quality agreements, and certifications. Works closely with suppliers to resolve delivery issues and ensure smooth procurement operations.

Inventory Control & Data Accuracy

· Manages inventory control and data accuracy by executing and validating daily ERP transactions to ensure precise on-hand balances and full traceability. Monitors expiring inventory and works with Manufacturing and Quality to determine appropriate actions such as rework or disposal. Investigates and resolves inventory discrepancies, documenting root causes and corrective actions. Coordinates monthly cycle counts and bi-annual physical inventories across Manufacturing and Shipping/Receiving. Maintains detailed records for audits, tracks inbound shipments, and updates “Available to Promise” (ATP) dates based on supplier and transit information. Continuously identifies and implements process improvements to enhance data integrity and streamline inventory management.

Production Planning & Materials Master Data

· Oversees production data and planning activities by creating and maintaining item master data, Bills of Materials (BOMs), and routers for OEM finished goods. Generates and releases manufacturing orders for OEM and Organic products, ensuring material availability in line with production schedules. Monitors open work orders, coordinating with Production to verify completion and close them in the ERP system. Leads the monthly Sales & Operations Planning (S&OP) meetings for PC80 product lines to review forecasts, production readiness, and material constraints. Prepares weekly PC80 inventory status reports detailing stock levels, open purchase orders, and pending builds, as well as monthly forecasting reports that identify trends, potential gaps, and recommendations to align supply with demand.

Logistics & Regulatory Compliance

· Manages international logistics and compliance by coordinating import documentation and working with customs brokers or 3PL providers to resolve clearance delays. Ensures suppliers provide all required documents—including commercial invoices, packing lists, and certificates of origin—for incoming shipments. Collaborates with Quality Assurance to uphold GMP, ISO, and internal quality standards across all materials and suppliers. Supports supplier audits by supplying documentation on material traceability, purchase history, and inventory reconciliation. Maintains full audit readiness by ensuring procurement, shipping, and materials management records are accurate, organized, and compliant with regulatory requirements.

Cross-Functional Collaboration

· Collaborates cross-functionally to support smooth supply chain operations by partnering with Finance to ensure timely purchase order and invoice reconciliation. Works with Quality to manage supplier qualification, resolve nonconformances, and maintain controlled documentation. Communicates closely with Manufacturing to align material availability with production priorities and address any issues affecting schedules. Actively contributes to continuous improvement initiatives focused on streamlining supply chain processes and increasing overall operational efficiency.

Qualifications

· Bachelor’s degree in Supply Chain Management, Business, Operations, or a related discipline or equivalent experience.
· 5+ years of progressive experience in materials management, procurement, or inventory control within a biotech, pharmaceutical, or regulated manufacturing environment.
· Strong knowledge of ERP/MRP systems and comfort with data analysis and reporting tools.
· Understanding of GMP, ISO 13485, or related quality system standards.
· Proven ability to manage multiple priorities and deadlines in a fast-paced production setting.
· Excellent communication skills, both written and verbal, with the ability to coordinate across departments and with external vendors.
· Strong analytical, organizational, and problem-solving skills with keen attention to detail.
· Experience with import logistics and customs documentation preferred.
