Job Description

The Dealership Sales Administrator provides administrative support to the Sales Manager and Sales staff, and prepares and processes all customer applications to finance vehicle purchases. Responsibilities include supporting the daily activities of the Sales Office, maintaining good working relationships with vehicle financing institutions and preparing/ submitting customer finance paperwork for review and acceptance, processing other routine and non-routine paperwork, preparing DMV materials, updating and running reports as needed, entering and managing vehicle inventory, managing travel arrangements for sales staff, promptly responds to calls, emails, and other correspondence, and treats vendors, customers and co-workers with respect.

Primary Responsibilities:

 Vehicle Sales Support:

Review and/or prepare all customer sales documents to ensure that all necessary documents are complete and correct, prepare and review DMV documents for accuracy, help coordinate delivery/transportation for sold vehicles, respond to and interact with customers and vendors, responding to questions and seeking out answers when needed to guarantee a positive customer experience.

· Administrative Support

Provide administrative support to Sales staff, update and generate reports, prepare purchase orders, address or follow-up on outstanding sales issues, prepare routine correspondence, update customer information in database, order sales supplies/brochures, appropriately triage and direct department phone calls and sales leads.

·   Inventory Management

Place vehicle orders as advised by Sales Manager, accurately update inventory database, track and/or follow-up with vendors on status of inventory orders, process all paperwork associated with vehicle delivery and check-in process.

· Other Administrative

Monitor the reception area, greet customers and provide phone coverage for receptionist, provide cross-coverage for other Sales Administrators, and special projects or tasks as assigned by the Sales Manager or Senior Management.

Qualifications that a candidate must possess to gain consideration for this position:

· At least three years of experience working in an administrative capacity, preferably in the automotive or trucking industries.

· Ability to use a personal computer, a general understanding of Microsoft Office software programs, and the ability to learn other database or proprietary software programs as needed.

· Excellent follow-through and problem-solving skills.

· Must be able to multi task

· Must be self-motivated with good written and verbal communication skills.

· Must be a team player with a strong sense of commitment to performing required tasks accurately and professionally.

Training/Educational Requirements:

High School Diploma or equivalent
